1. About Us

Floor Flow AI is a trading name of Luke Harris, a sole trader registered in England and Wales. Registered address: Office E, Stonham Barns Retail Park, Pettaugh Road, Stowmarket, Suffolk, IP14 6AT. Email: hello@floorflow.ai. Phone: 07446 822243.

2. These Terms

These terms govern the provision of AI chatbot services by Floor Flow AI to business clients. By signing a service agreement with Floor Flow AI, you agree to these terms. These terms apply to business clients only — not consumers.

3. Services

Floor Flow AI will provide the services set out in your signed service agreement, which may include AI chatbot installation, configuration, knowledge base setup, lead capture automation, SMS notifications, and ongoing support. The specific features depend on the package selected.

4. Setup and Onboarding

Services go live within 10 working days of receipt of the signed agreement and setup fee payment. You must provide reasonable access to your website and any information required to configure the chatbot. Delays caused by your failure to provide required access or information may extend the go-live date.

5. Fees and Payment

Setup fees are due on signing and are non-refundable once onboarding has commenced. Monthly fees are due in advance by direct debit or card payment. Annual fees are due in full on signing. All fees are exclusive of VAT. Floor Flow AI is not currently VAT registered.

6. Introductory Offer

Where an introductory offer applies, the reduced pricing covers the stated introductory period only. Standard pricing applies from the end of the introductory period unless otherwise agreed in writing.

7. Cancellation

Either party may cancel the monthly service by providing at least 30 days written notice by email to hello@floorflow.ai before the next payment date. Annual plans are non-refundable after 30 days from the start date. Setup fees are non-refundable once onboarding has commenced.

8. Intellectual Property

The chatbot system, conversation prompts, knowledge base configurations, and workflow automations remain the intellectual property of Floor Flow AI at all times. You are granted a licence to use the chatbot on your website or platforms for the duration of the agreement. This licence ends on termination of the agreement.

9. Your Responsibilities

You are responsible for ensuring your website privacy policy is current and accessible. You are responsible for following up leads generated by the chatbot promptly. You must not attempt to copy, reverse engineer, or reproduce any part of the chatbot system.

10. Data Protection

Floor Flow AI acts as a data processor on your behalf in respect of personal data collected from your customers via the chatbot. You are the data controller. Both parties agree to comply with their obligations under the UK General Data Protection Regulation and the Data Protection Act 2018. Floor Flow AI will process personal data only for the purpose of delivering the services.

11. Limitation of Liability

Floor Flow AI does not guarantee any specific number of leads, enquiries, or sales. Performance depends on factors including your website traffic and market conditions. Floor Flow AI's total liability for any claim arising from these terms shall not exceed the fees paid in the three months preceding the claim.

12. Service Availability

The chatbot operates on third-party platforms including GoHighLevel and OpenAI. Floor Flow AI does not guarantee 100% uptime but will make reasonable efforts to resolve any issues promptly.

13. Governing Law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

14. Changes to These Terms

Floor Flow AI may update these terms by giving you 30 days written notice by email.

2. What Data We Collect

When you contact us through our website contact form, we collect your name, business name, email address, phone number, and any information you provide in your message. When you use our demo chatbot at yourfloorexpert.co.uk, the conversation may be processed to demonstrate our services.

3. How We Use Your Data

We use your data to respond to your enquiry, provide our services, send service-related communications, and improve our offerings. We do not use your data for unsolicited marketing without your consent.

4. Legal Basis for Processing

We process your data on the basis of legitimate interests — specifically to respond to business enquiries and provide contracted services — and contract performance where a service agreement is in place.

5. Data Sharing

We use the following third-party processors to deliver our services: GoHighLevel (CRM and automation platform), OpenAI (AI processing), Google Workspace (email). All processors are bound by appropriate data processing agreements. We do not sell your data to third parties.

6. Data Retention

We retain contact enquiry data for 24 months from last contact. Client data is retained for the duration of the service agreement and for 6 years thereafter for legal and accounting purposes.

7. Your Rights

Under UK GDPR you have the right to access, rectify, or erase your personal data; to restrict or object to processing; and to data portability. To exercise any of these rights, contact hello@floorflow.ai. You also have the right to lodge a complaint with the ICO at ico.org.uk.

8. Cookies

Our website uses essential cookies only. We do not use tracking or advertising cookies.

9. Changes to This Policy

We may update this policy from time to time. The current version is always published on this page with the date it was last updated.
